This article provides answers to a number of frequently asked questions about Zoom AI Companion.

What Zoom AI features are available for UChicago users?

  • Meeting Summary: AI Companion generates a summary of your meetings. You can choose to send the summary automatically to all attendees or manually send to a select few.
  • Smart Recording: Organizes host cloud recordings into highlights, sections called smart chapters, and next steps.
  • Thread Summary for Team Chat: Condenses and summarizes message threads in Zoom's Team Chats in the desktop Zoom application.

How can I access my Zoom AI Companion settings?

  • Log in from your Zoom sign-in website.
  • Click Settings.
  • Click AI Companion.
  • From here you can enable, disable, and modify settings for the meetings you host.

Is the privacy of the data from my meeting preserved?

Your privacy and data are important. Zoom does not use any audio, video, chat, screen sharing, attachments, or other communications-like customer content (such as poll results, whiteboards, and reactions) to train Zoom's or its third-party AI models. For more information, visit the Zoom website.

Who has access to Zoom AI Companion data?

By default, only the Zoom meeting host has access to a meeting summary until they share it with others.
If the host uses smart recording, anyone they share the Zoom cloud recording with will have access to the content created by AI Companion.

How accurate is AI Companion?

Summaries generated by AI Companion and smart recording may contain errors. The meeting host should not release these summaries or recordings without reviewing and correcting the content.

How do I enable or disable meeting summary for the meetings I host?

  1. Log in from your Zoom sign-in website.
  2. Click Settings.
  3. Click AI Companion.
  4. Navigate to "Meeting Summary with AI Companion" and toggle the on/off button to disable/enable.
  5. If a verification dialog displays, click Enable or Disable to verify the change.

How do I ensure my meetings are not automatically summarized?

By default, "Automatically start Meeting Summary for all meetings I host" is disabled.

To enable this feature:

  1. Log in from your Zoom sign-in website.
  2. Click Settings.
  3. Click AI Companion.
  4. Navigate to Meeting Summary with AI Companion.
  5. Select the checkbox next to "Automatically start Meeting Summary for all meetings I host" to have meeting summary automatically start for meetings you host.

Note: This does not require the host to be present, as the Meeting Summary generation will begin as soon as someone starts your meeting.

Can meeting summary tools be turned on or off per meeting?

Yes, as the host, if you do not have automatic summary enabled you can choose when to activate meeting summary within your meeting. The host can click the Summarize button in the tool bar of the meeting window to generate a summary.

Note: Meeting summary begins when the host clicks the Summarize button. It will not capture content prior to the butting being selected.

What if I receive a request from a meeting attendee to generate a summary from a meeting I host?

As the host, you will receive a pop-up message with a summary request from an attendee. You can opt to approve or deny the request.

Who has access to the meeting summary for a particular meeting?

By default, only the host has access to their meeting summary. The host will receive the summary via email and can edit and forward it to anyone. The summary is also viewable in the host meetings within their Zoom profile online. From there the host can edit and send the summary.

How do I disable smart recording?

To enable/disable Smart Recording for your own use:

  1. Log in from your Zoom sign-in website.
  2. In the navigation menu, click Settings.
  3. Click the Recording tab.
  4. Verify that the "Cloud recording" setting is enabled.
  5. Under "Advanced cloud recording settings," select the check boxes next to "Create audio transcript" and "Smart Recording."
  6. (Optional) Select or clear any of the following check boxes as desired.
    Note: If you clear all the check boxes, Smart Recording will be disabled.
    Create recording highlights: Zoom will automatically highlight the most important parts of the recording. Hosts can adjust the highlights as needed and share the video summary with users.
    Create smart chapters: Zoom will automatically group sections of the recording into chapters with an overview. Hosts can edit the chapters manually.
    Create next steps: Zoom will automatically summarize any actions to take after the recorded session. Hosts can edit the next steps manually.
  7. Click Save.

Can smart recording be turned on or off per meeting?

No, once the tool is enabled, AI Companion will generate a Smart Recording for all your cloud recorded meetings. The host can disable Smart Recording for all meetings they host.

Are my Zoom team chats in the desktop application automatically summarized?

No, to summarize a chat thread:

  1. Sign in to the Zoom desktop application.
  2. Click the Team Chat tab.
  3. Next to the chat thread you want to summarize, click the ellipsis icon. Additional options for this chat thread will appear.
  4. Click Summarize with AI Companion.

Are the contents of the in-meeting chat also included in the smart recording

Depending on the host's recording settings you can enable or disable the ability to view save chats to the recording. By default, "Save chat messages from the meeting/webinar is enabled."

To disable this feature:

  1. Log in from your Zoom sign-in website.
  2. In the navigation menu, click Settings.
  3. Click the Recording tab.
  4. Under "Cloud Recording" select the check box next to "Save chat messages from the meeting/ webinar".
  5. Select the toggle button next to Viewers can see the chat.

Note: Private chats will not show up on any recordings regardless of settings.

Can I prevent other AI meeting bots outside of Zoom AI Companion from joining meetings I host?

A meeting bot is an application that connects to a meeting and accesses the meeting's audio and video content, or an app that streams media into a meeting. Some of these meeting bots are not affiliated with Zoom's AI Companion.

To protect your meetings:

  • Enable "Require authentication to join" when scheduling your meetings. This requires your participants to have a UChicago Zoom account and sign into their account prior to joining your meeting.
  • Enable Waiting Room. This gives host and cohost the able to admit participants they can identify.
