UCAT is the UChicago Card and Account Tool. It is a web-based application that allows either a Trusted Agent (TAG) or a Human Resources Partner (HRP) to authorize new faculty, other academic appointees, or staff members to claim their CNetIDs and account services. UCAT also provides the HRP or TAG with the ChicagoID, which is used in place of the social security number in University systems. HRPs use the UCAT system as part of the onboarding process. TAGs tend to use UCAT for exceptional cases that fall outside of the regular onboarding process.
TAGs: All Trusted Agents have access automatically to the UCAT Prefeed.
Human Resources Partners (HRPs): UChicago Human Resources determines who can receive access to this application.
Note: Only full-time, non-student staff may be authorized.
If you are a Human Resources Partner, you must contact Service Delivery Network in order to become authorized for UCAT access.
When you encounter an error, close out all tabs of the browser and close the browser itself so that your single sign-on session is closed. Reopen your browser and go to ucat.uchicago.edu. If the problem continues, HRPs may contact Service Delivery Network (follow the instructions listed above) for assistance and Trusted Agents may contact tag@uchicago.edu.
If you have successfully accessed UCAT in the past, you should clear your browser history and stored passwords, commonly known as cache. Additionally, close out all tabs of the browser, then close your browser completely. Reopen your browser, go to ucat.uchicago.edu, then click on Employee Prefeed to try entering your new employee again. If you continue to get the error at the point where you select "No Match," please email idm@uchicago.edu.

Search for the employee in UCAT and on their Maintain an Individual page, click Expire Prefeed. This will initiate a closure process and their UChicago card will be deactivated.

Yes, as part of onboarding, HRPs prefeed new employees and use the ChicagoID as an identifier when setting up access to our HR system, Workday.
HRPs should choose the default time indicated by the UCAT tool, which is determined by the new employee's status. Faculty and other academic appointees (OAA) have 30 days by default, staff have 45 days by default. There are extremely few circumstances that would merit a longer expiration time for records that are created by HRPs and the risks to the University increase significantly when HRPs prefeed accounts for too long. Essentially, if the relationship between the former employee and the University is severed before the prefeed record expires, the account will stay active and will not enter closure until the prefeed record expires—which means that the account services may stay active for months after the relationship between the University and the former employee has ended.
Yes, part-time and temporary staff should be prefed. They are eligible for regular account services.
Part-time and temporary staff are not eligible for a UChicago Card, but if they require University ID, the department may authorize a Campus Card.
You may use the Notes field in the individual record to record that kind of information.
If you notice the error before you have entered the new employee into Workday, you may modify it in UCAT. If the modification is made after the information has been updated into Workday, you will likely need to work with the Service Delivery Network support team (773.702.5800 or submit a ticket from services.uchicago.edu) and the Identity Access Management (idm@uchicago.edu) team to resolve the data issue.
