Campus Card Administration Help


This article explains how to use the Campus Card interface for Campus Card Administrators. Most groups that require Campus Cards for individuals working within their division, department, school, or institute do not have a Campus Card Administrator, but simply contact the ID & Privileges Office to authorize the creation of a Campus Card for an individual.

Search and Search Results Screen Help

Search screen: CCI begins with a search to try to reduce duplicates in the database. Search by the best known information. Tip: You can use the * (wildcard).

1 First Name Official/Legal name on file
2 Middle Name Official/Legal name on file (to be used with name search)
3 Last Name Official/Legal name on file
4 Birth Month/Day Month and day of birth (to be used with name search)
5 CNetID / UCHADID CNetID or Hospital ID
6 ChicagoID nine-digit code ending with a letter
7 StudentID eight-digit code generated for every student in the University Community

Lists the matching info in alphabetical order - limit of 25 records

1 Name Combination of First, Middle, Last Official/Legal names
2 Birth Date Month and day of birth date (mm/dd)
3 UChicago Card? Y/N flag indicating if a person is eligible for a UChicago Card (and thus not for a Campus Card)
4 CNetID / UCHADID CNetID or Hospital ID
5 Affiliations LDAP Affiliations
6 Payroll Department Staff's dept per HR
7 FERPA Y/N flag indicating if a student has FERPA protection
8 ChicagoID nine-digit code ending with a letter
9 Search Directory Link to the individual's UChicago Directory entry

Fields on Screen

# Field Description
1 First Name Official/Legal name. Name printed on Campus Card is based on this. Use title case (upper and lower).
2 Middle Name Official/Legal name. Name printed on Campus Card is based on this. Use title case (upper and lower).
3 Last Name Official/Legal name. Name printed on Campus Card is based on this. Use title case (upper and lower).
4 Birth Date (Month) Month of birth (mm)
5 Birth Date (Day) Day of birth (dd)
6 Birth Date (Year) Year of birth (yyyy)
7 Gender Check one: Male / Female / Undeclared
8 Card Class Temporary, Family, Contractor (See chart below)
9 Expiration Date Exact Expire Date will be determined when Campus Card created at the IPO carding station
10 Reduce Expire Check to reduce the maximum period, then enter the Expire date you need. Use 'Notes' field for instructions if Expire Date should be other than maximum per Card Classification.
11 Sponsor (CNetID or UCHADID) Who has requested this person to have the local service? Must be a UChicago or UChicago Hospital employee, thus must have a CNetID or UCHAD ID
12 Personal Email Home or business email for identification purposes (not UChicago email)
13 Personal Phone Home or business phone for identification purposes (not UChicago phone#)
14 Home Address (1) Home or business address (for identification purposes) - line 1 (Address is not required, but strongly encouraged!)
15 Home Address (2) Home or business address - line 2
16 City Home or business city for the above address
17 State Home or business state for the above address
18 Zip Home or business zip for the above address
19 Notes 500c-haracter text field to store emergency contact or any other data
20 Photo image Campus Card photo with watermark
21 ChicagoID nine-digit code ending with a letter. They are generated for every individual in the University Community.
22 CNetID / UCHADID CNetID or Hospital ID
23 Card Class Temporary, Family, Contractor, Affiliate (See chart below)
24 Card State Status of current Campus Card
25 Card Expiration Expire Date printed on current Campus Card
26 Card Services The entry/update date, Service Name, and operator CNetID for when services were added/updated

Campus Card Types

Campus Card Type Definition Examples Max
Family Relatives of University faculty or staff who have been granted special privileges. Spouse or other family members of faculty/staff who have library privileges; grandparents who provide family support to Resident staff. 2 years
Contractor Individuals who provide consulting and other short-term or limited services to the University, and who are not on the University payroll. Facilities construction and janitorial staff, long-term caterers. Other office and technical support contractors; other vendors who may be on site more than three days. 1 year
Temporary Individuals who provide work or services to the University, and who are on the University payroll, but not eligible for the UChicago Card. Individuals who provide work or services to the University but who are contractors, consultants, or otherwise not directly affiliated with the University. Provided to others who need access to University services. HR- or TAG-created Temporary staff. Visiting professors, community members who have been granted special privileges, non-UChicago student interns. 1 year
