Grouper is the system used for managing groups of people affiliated with the University. You can use these groups to manage who has access to all sorts of resources such as mailing lists, email, web resources and tools, and departmental services.
Grouper groups are managed using a hierarchical folder system and are flexible in their usage—groups can be made up of individuals, other groups, or a combination of the two. If you are a Grouper administrator, you're granted access to your relevant groups and may add and remove members, edit privileges, and change other attributes of the group.
Read on to learn more about how to perform common functions in Grouper.
Find a Group
There are various ways to find a group using the new Grouper interface, including:
- Search by group name using the search bar in the upper-right corner of the page.

- Use the Browse Folders tab on the left side of the page. Note that if you do not see your desired folder or group in the list, this may be because there are too many members of a folder to fully display. You can see a full list by selecting the folder name (there may be multiple pages of entries). Also, note that groups are sorted alphabetically, but with capitals before lowercase (e.g., ABC...XYZabc...).
- Go to Quick Links and select My favorites to select a group from your list of favorites.

Add a Favorite
My Favorites is a useful function that allows you to go directly to the entities you use most, with a minimum of steps. To add a group or individual to your Favorites:
- Navigate to your group's page.
- Select More actions.
- Select Add to my favorites.

You can navigate to this group from anywhere on Grouper by using Quick Links. To do so, select My Favorites, then select your group.

If you frequently view the same entities or individuals, you can add them to My Favorites from their page by selecting Add to My Favorites.
Add a Member to a Group
- Navigate to your group's page.
- Select +Add members.
- Enter either the name or the CNetID of the new member, or the name of the group you would like to add. If your individual does not show up, it is most likely because the person's official name includes a middle name or middle initial. When looking up by CNetID, adding a space at the end of the CNetID will provide you with a list of all matches beneath the look-up box. Choose the correct match from the list. See the Grouper FAQ for more information.
- Select Add.
If you would like to grant special privileges to an individual, look up the individual's name. Before you select Add, switch from "default privileges" to "custom privileges." This will present options for privileges, which you may select if you're an administrator to the group. If you would like to grant privileges to an existing member of the group, you must revoke a membership, then re-add them with the desired privileges.
Alternatively, you can add members from another group or list. To do so, you must have either a text (.txt) file or comma-separated values (.csv) file, or a list that you can copy and paste into the box. For more information, select +Add members and then select import a list of members (next to Add).
Create and Edit a Member's Start and End Dates
If you would like for an individual to have access to a resource for a specific time, specify a start and end date for membership in a specific group:
- Navigate to your group's page.
- Find the individual in the list of Members for this group. Use Filter For search in the middle of the screen to enter the individual's name and then Apply Filter. This search is more forgiving with names and will find an individual using the first and last name, even if the official name has a middle name or initial.
- Select Actions, then from the drop-down list select Edit Membership and Privileges.

- Add start and end dates in a yyyy/mm/dd hh:mm am/pm format.

Remove a Member from a Group
- Navigate to your group's page.
- Find the member you wish to remove, either in a list or using the search option.
- Select Actions, then from the drop-down list select Revoke Membership.

View Individual Information
If you would like to see an individual's membership information, Grouper provides a few ways to do this:
- Search for the individual using the search bar in the upper-right corner, then select the member from the resulting list.

- Select the individual's name from any group they are listed in.
- Select More from the individual's Memberships page to view an individual's basic information, such as their ChicagoID, UCMEDID, full name, email, and department.

- Add an individual to a group using the +Add to a Group button located in the top right corner.
- Add an individual to your Favorites by selecting Add to My Favorites in the top right, under +Add to a Group.
- View an individual's Grouper memberships and privileges by selecting the appropriate tab.
