When you leave the University, your documents, including those that you have shared with others, will be deleted at the end of the closure process. If you have any shared documents that should remain open, please transfer those documents to another owner to avoid having them be deleted. Sharing your files is not sufficient—if you do not transfer ownership, the files will be deleted when your account services close. To transfer ownership:
- Visit Google Drive (gdrive.uchicago.edu).
- Log in using your CNetID and password. Once you have logged in all the files you own will be listed under the My Drive heading.
- Look up the file you wish to transfer. You can do this by scrolling within My Drive and finding the file, or by typing the filename in the search bar at the top of the screen. Please consider transferring:
- Files used by large groups or departments
- Contact information for clients
- Policy documentation
- Open the file you wish to share by selecting its name.
- Select the Share button in the upper-right section of the screen.

- If you have not shared the document with the person you want to transfer ownership to, you must do that first. To share the document with somebody, enter their email address in the pop-up window, then choose Send.
- To transfer ownership of the file, select Advanced.

- The names and email addresses of those who have access to your file will be listed. To check and change an individual's level of access, select the drop-down menu next to their name. The drop-down menu is one of: a pencil icon, a text box icon, or an eye icon.

- Choose Is Owner from the drop-down menu to give an individual ownership. The access options are: Is Owner, Can Edit, Can Comment, or Can View.

- Choose Save changes at the bottom left of the window. Select Done to complete the change and close the window.
Note: Ownership can be transferred only to another user in the .uchicago.edu domain. This means that you may transfer ownership only to another UChicago account holder.
