Navigating Orbit Report Fundamentals

Purpose

This reference guide is intended to guide users who are looking to view or navigate Orbit Reports.

Access Orbit Reports

  • Some Oracle Roles come with access to dashboards required to support the business needs of that particular role (ex. Org Financial Manager Approval Group has access to Procurement Management Dashboard).​
  • Dashboard access can also be given at the discretion of the Role Assignment Owner to support a business need of a particular user.​
  • What to do if I need different access?​ Contact your unit's Role Assignment Owner to request additional Orbit access on your behalf.​

Keep in Mind

  • UChicago Secured internet is required to view data in Orbit Reporting and Analytics.  If you are working off campus or at the Medical Center, log into UChicago's VPN.
  • Go to Oracle's Reporting Hub menu option to access the Orbit Reporting Hub
  • The data available in Orbit will be updated nightly by the source system (i.e. Oracle, Workday, or AURA)

Filter a Report

Use the Details Table

Terminology

  • Measures: Quantitative data that can be measured that are usually expressed in the charts
  • Hyperlink: A digital reference to data that the user can follow or be guided to by clicking
  • Drilling/Drill: The act of using hyperlinks to shift from an overview of data to a more detailed and granular view within the same dataset
  • Wildcard (%): A special character that can stand in for unknown characters in a text value

Navigate Orbit Reports

  1. Log-in to Oracle

  1. Select the Reporting Hub menu option
  2. Select Orbit Reporting Hub

  1. Select the 'R' and select Reporting

  1. Select Shared with Me

Filter a Report

  1. Use the filter boxes at the top to search for specified data.

To filter for a specific dimension(s), follow steps 2-5.

  1. Select the filter.
  2. Search for the dimension(s) you want to use to filter the dashboard.
  3. Drag of double click the dimension(s) to bring to over to the Selected item(s) list.
  4. Select Ok.

To clear the filters, follow step 6 or step 7.

  1. Select the X on the dimension you want to remove in the filer and select Ok.
  2. Right click over the select filter and select Clear the value. The report will turn back to the default data.

  1. Wildcard values can stand in for unknown text when searching for dimensions. Add ‘%’ to the beginning and/or end of the value you are searching. Values that include the text value will show up in the search.

  1. Use the Filter icon to add or remove filters for tables.

Graphs can be used as filters for the dashboard by following steps 10-14.

  1. Select the Options icon (three lines) next to the graph/chart.
  2. Select Use as Filter so there is a check mark.
  3. Select a section of the graph/chart to be used as the filter. The entire dashboard will reflect the selected section.

  1. Select the same section of the graph/chart again and the dashboard will remove the filter and return to the default state.
  2. Use the Run icon to run reports.
  3. The Top filter is used to change the number of categories displayed in the charts. To change it, select the Top filter.
  4. Change the number to the number of categories you would like reflected in the charts.
  5. Select Ok.

Use the Details Table

To export table data into Excel, follow steps 1-3

  1. Select the Options icon (three lines).
  2. Select Underlying Data.

  1. Select the Export icon. It will export the data into Excel and can open the file from your downloads.

  1. Columns with blue values are hyperlinks can be used to drill into the data. Select the blue value you would like to dill on. You will be brought to another page that shows additional data on the report.

Filter in the Details Table by following steps 5-8. This will not filter the rest of the dashboard.

  1. Navigate to the left side of the table and select the filter sign.
  2. Choose from a multitude of different operators.
  3. Search in the columns by the operator chosen in the previous step.
  4. Clear these filters by select the X on the left side of the screen. Select the filter button again.
