Create an Internal Supplier

Purpose

This reference guide is intended for Supplier Administrator and provides the steps to create an internal supplier.

Terminology

  • Internal Billing: Process for Provide Units within the University of Chicago to charge a fee for goods or services provided to another unit within the University.

Data Access

  • Security: Creators will need the Supplier Administrator role and be a Procurement Agent for Procurement BU University Internal Billing

Create an Internal Supplier

  1. Before you create the new Internal Supplier, first confirm: did the Cost Analysis team review the ServiceNow ticket? Cost Analysis reviews all new Internal Supplier requests to check if they qualify as a recharge operation. Do not create the Internal Supplier unless Cost Analysis has reviewed and provided direction.
  2. Log into Oracle using the Company Single Sign-On.

 

  1. Navigate and select the Procurement module.
  2. Select Suppliers.

 

  1. Select the Taskbar.
  2. Select Create Supplier.

 

Note: Official recharges will have their COA Fund value as a prefix to their name.

  1. Input the Supplier Name, Business Relationship, and Tax Organization Type.

Note: Business Relationship is Spend Authorized. Tax Organization Type is Partnership.

  1. Select Create.

 

  1. Under Supplier Profile, enter the Alternate Name and Supplier Type.

Note: Supplier Type is Internal Supplier

 

  1. Enter the ServiceNow Ticket Number if applicable.

 

  1. Select the Addresses tab.
  2. Select the + icon to create the address.

 

  1. Address Name is the same as the Supplier Name. All Internal Suppliers utilize the address information in the picture to the right, with the exception of the Address Name which is the Supplier Name.

 

  1. Check Ordering and Remit To for Address Purpose.

 

  1. Under Address Details, create the Site and populate Procurement BU with University Internal Billing from the list of values. Select Save and Close.

Note: The Site Name is Main

 

  1. Select the Sites tab.
  2. Select the Main site.

 

  1. Under Additional Information, select Payments.

 

  1. Select the double arrow icon and the circle checkmark icon to choose ACH as the default Payment Method.

 

  1. Select the Site Assignments tab.
  2. Select Autocreate Assignments and select Save and Close

 

  1. Select the Contacts tab.
  2. Select the + icon to create the contact.

 

  1. Input the Internal Supplier requester unless told different. Check the Administrative Contact box.

Note: You do not need to add Contact Address or User Account.

 

  1. Enter an Email and select Save and Close.

 

  1. Select Submit.

You have now completed the process of Creating an Internal Supplier.
