Enrolling My Team in a Course or Program in Workday

Purpose

This document provides managers with instructions on how to enroll their team members in a course or program within the Workday Learning application.

Keep in Mind

· Workday’s Learning application is a learning management system (LMS) used to host and manage training for university workers with real-time tracking of completion requirements.

· A course is a combination of lessons, with or without an instructor, focused on a specific subject area. Course formats include:

· Digital – Fully online, on-demand, and self-paced learning. This format includes content such as videos, documents, and computer-based training (CBT) modules, all completed independently by the learner.

· Instructor-Led Training (ILT) – Live, synchronous sessions led by an instructor, conducted either in person or virtually.

· Blended – A combination of digital content and ILT sessions, offering a mix of self-paced and live learning experiences.

· A program is a collection of courses and/or stand-alone lessons organized as a curriculum to cover a broader topic.

· Lessons and courses in a program can be taken in any order; however, any prerequisites must be followed and met, if applicable.

· A stand-alone lesson is a single piece of content, such as a recorded lecture or a job aid, that DOES NOT require enrollment. When a user selects the title of the lesson, they are automatically directed to that content.

· Required Learning in Workday refers to mandatory courses or training programs assigned to workers, typically by their managers, HR, or compliance teams. This learning is often linked to regulatory requirements, organizational policies, or role-specific needs. Employees must complete these courses by a specified deadline, and completion status is tracked within the Workday Learning module.

· Workers with Learning security roles may have access to additional information not covered in this document. Please refer to the appropriate resource corresponding to the assigned Learning security role.

· The instructions provided in this article are exclusive to workers with direct reports in Workday. Workers who wish to enroll themselves in a course or program should refer to the instructions in the Enrolling in a Course or Program in Workday Knowledge Base Article.

Steps

1. Log into Workday using your CNetID and password.

2. In the search box at the top of the screen, type “Manager Enroll,” and select the suggested task that appears below the search box.

3. The Manager Enroll dialog box will pop up. Use the Content field to search for the desired course or program. Type keywords in this field and press Enter to display a list of results matching the search criteria.

4. Choose the appropriate course or program from the available options and select OK.

5. The Review screen will appear, displaying the title and description of the course or program at the top. Under the Assign as Required Learning header, select Yes or No to indicate whether the training is mandatory, and if so, to set a specific completion deadline.

a. If Yes is selected, the Due Date section will appear on the right side of the screen. Here, set the deadline for completing the training. Under Due Date Type, choose either Date or Duration.

i. If Date is selected, type or use the calendar icon to enter the due date.

ii. If Duration is selected, specify the Duration Unit (e.g., Days, Weeks, Months, Years) and enter the Duration in the appropriate field.

6. Scroll down to the Workers section/tab, where direct reports are listed. Use the checkboxes in the first column to select all or specific workers. To select all, mark the checkbox at the top of the column in the header row. To select individual workers, mark the checkbox next to each worker’s name.

a. Only direct reports will appear in this list.

b. If a direct report does not appear under the Workers tab, check the Ineligible tab. This tab shows any workers who cannot be enrolled in the course or program, along with the error preventing enrollment. In most cases, workers are listed as ineligible because they have already been enrolled.

i. The Ineligible tab will only appear if there are workers who cannot be enrolled.

c. If a direct report does not appear under either the Workers or Ineligible tabs, contact the HR Partner supporting the unit to confirm that the worker is assigned to the correct supervisory organization.

d. If a worker has previously completed the course or program, a Warning will appear in the corresponding column. Ensure these warnings are reviewed before proceeding.

7. Select Submit to complete the enrollment process. Workers will receive a notification in Workday once they have been successfully enrolled.
