Purpose
This document provides Time Approvers directions on how to correct time off on behalf of a worker in Workday.

Keep in Mind
- This business process is used when a time off request has already been approved but needs to be corrected.
- If the request has not yet been approved, the worker should cancel it and submit a new, corrected request if time off is still needed. Instructions for this process can be found in the Requesting and Canceling Time Off in Workday Knowledge Base article.
- Non-exempt workers can request time off in increments of one-half hour (0.5 hour). Exempt workers should only request full day absences.
- Absence day(s) will be adjusted on the worker's schedule. Any accruals previously reserved will be released and become available for future scheduling after changes are made.
- The information required to complete the process in Workday is:
- Worker’s name
- Dates of the time off entry
Steps
- Log into Workday using your CNetID and password.
- From the Home page, select Menu in the top-left corner, then choose the Manage Absence App under the Personal category.
- The time off calendar will appear. Select the Switch Worker button in the top-right corner to choose the worker whose time off needs to be corrected.
- In the Manage Absence dialog box, select the appropriate worker by either using the Hamburger Menu (the icon with 3 dots and 3 dashes) next to the corresponding field or typing the worker's name directly into the field and pressing Enter.
- Select OK.
- The calendar for the selected worker will appear, and time off balances and requests as of the current date will display on the right side of the screen. Locate and select the time off event that needs to be corrected.
- To navigate between months, use the Previous and Next arrows at the top left of the calendar, or select the downward arrow next to the month and year to jump to a specific month within the selected year.
- The Absence Entries dialog box will appear.
- The details of the time off request will appear in this box, including the Request Amount, Status, Request Dates, Type of Absence and Duration per Day.
- To make changes to a time off request:
- Select the Edit button at the bottom of the box.
- The Edit Absence box will appear.
- To make changes that apply to all dates in the request:
- Use the Hamburger Menu to the right of the Type of Absence field to adjust this information and choose from the available options.
- To correct the number of hours requested per day, type the desired number into the Hours (Daily) field.
- Utilize the Comment box to provide relevant details about the changes (do not include personal or sensitive information). To add notes for the Time Approver, expand the Additional Information section and enter details in the Comment to Approver box.
- To edit individual dates within a request:
- Scroll down to the Edit Individual Days hyperlink, located below the Hours (Daily) field.
- The Edit Absence box will then split in two. On the left, each date in the request will be listed separately. Select a date to view its details on the right, then update the Type of Absence, Hours (Daily), and Comment fields as needed. Repeat this process for any date that requires individual edits.
- Once all changes are complete, select Submit Request to finalize the process.
- To cancel a time off request:
- To remove all dates in a request, select the Cancel Absence button at the bottom of the box.
- If a request includes multiple dates and only some need to be canceled, select the Edit button at the bottom of the box.
- In the Edit Absence dialog box, scroll down to the Edit Individual Days hyperlink, located below the Hours (Daily) field.
- The Edit Absence box will then split in two. On the left, each date in the request will be listed separately. Select a date to view its details on the right, and then select the Delete option in the top-right corner to remove that specific date from the request.
- Make any additional edits to the remaining dates if needed, then select Submit Request to complete the process.
- Corrections will now be reflected on the worker’s calendar.
