This document provides directions on how to interpret the information contained in the Learning Transcript within the Workday Learning Application.

IMPORTANT: Please be aware that the information displayed in certain columns may not be relevant for all users. Applicability depends on the specific role and purpose of the person accessing the Learning Transcript.

• Workday’s Learning application is a learning management system (LMS) used to host and manage training for university workers with real-time tracking of completion requirements.
• A Learning Transcript only includes training content that is housed in and offered through Workday Learning.
• A transcript records all self-enrolled learning content and content enrolled on behalf of an administrator.
• A Learning Transcript provides a quick snapshot of course details for upcoming in-person trainings (e.g. date, time, location).
• A course will appear more than once on a learning transcript if the course has an expiration date and requires retake.

Terminology

• A course is a combination of lessons, with or without an instructor, focusing on a specific subject area. 
  • Course formats include:
    • Digital – Computer-Based Training (CBT), on demand, asynchronous
    • Instructor-Led Training (ILT) – live instructor, synchronous
      • ILT’s can be in person or remote
    • Blended – combination of CBT and ILT lessons
• A program is a collection of courses and/or stand-alone lessons organized as a curriculum to cover a broader topic.
• A transcript is broken into three sections:
  • Not Started: Courses/programs you are enrolled in but have not begun.
  • In Progress: Courses/programs you are enrolled in and have started but have not finished.
  • Learning History: Courses/programs you have completed.
    • Completion is determined based on the program/course requirements and program/course set up.  Please refer to the program/course description to identify these requirements.
• Each section within the transcript includes columns of information specific to the course/program.  Columns are as follows:
  • Name
    • Title of training content.  This field is hyperlinked; selecting the title will take you to the program/course page.
    • NOTE: To the left of the Name column is an untitled column containing a magnifying glass icon.  Select the magnifying glass to see a detailed view of the learning enrollment, including individual lesson Completion Dates and Times for courses.
  • Version
    • In Workday Learning, version control is used to track and manage changes made to programs and courses. In this column, you will see the name given by the Learning Admin to the specific version of the program or course that was assigned to, or completed by, the worker.
    • Most applicable for the role of Content Creator.
  • Content Type
    • Digital Course
      • Digital courses are intended to be a standalone course without instructor-led components. Media, External Links, and Survey Lessons can be added to a digital course. The media on this type of course is static. 
    • Blended Course
      • A blended course can be a combination of a scheduled Instructor-led lesson or webinar and digital components - Media, External link, and Survey lessons. 
    • Course Offering
      • A specific occurrence of a course that workers can sign up for.
    • Program
      • A collection of courses, structured as a curriculum covering a broader topic.
    • Lesson
      • Standalone lessons are a single piece of content; they typically have a narrow focus on a single subject. They can be a recorded lecture, a course guide, a job aid, a movie, a software simulation, or any other item which a learner can access on their own as a single unit.
  • Registration Status
    • The status of a learner’s enrollment for a course or program.  Typically, this column will indicate Enrolled.
  • Date Enrolled
    • Date learner was registered into training.  This is not necessarily the date training occurs.
  • Completion Status
    • Options include Not Started, In Progress, or Completed.
    • If the training includes an Instructor-Led Training (ILT), where attendance is tracked, this status should not be used to confirm a learner’s attendance.  Please review the Attendance Status column to determine if a worker attended the ILT component.
  • Completion Date and Time (Learning History section only)
  • Expiration Date (Learning History section only)
    • Date in which training content is no longer valid. Training content with an Expiration Date requires the learner to re-train, prior to the expiration date.
  • Attendance Status
    • If the training includes an ILT component use this status to determine if the learner was present.
    • Not all trainings track attendance.
  • Grade
    • Options include Pass or Fail.
    • Only visible if grading is tracked.  Not all courses track grading.
  • Score
    • The default value for this column is zero (0) for all programs/courses.  If grading is tracked with a numerical value, the appropriate result will appear under this column.
  • Record Type
    • Refers to the process that creates a record in the learning transcript.  For most courses/programs, this column will indicate Enrollment.
