Processing an After the Fact Requisition into a Purchase Order


Purpose

The following guide is intended for a Payables Buyer to process After the Fact Requisitions into Purchase Orders.

Process a Requisition into a Purchase Order

1. Log into Oracle using the Company Single Sign-On.

2. Navigate and select the Procurement module.

3. Select Purchase Orders

4. Select the Taskbar.

5. Select Process Requisition.

Note: If you do not need to pull the list of requisitions and are just creating ATF Purchase Orders, go to step 10.

6. Export the list to Excel

Note: Make sure only Requisitions BU is populated with University General.

7. In the Excel spreadsheet enable editing. Unwrap the text and select Merge & Center.

8. Format the Workbook to identify duplicates and what data was on last week’s Workbook. Use VLOOKUP’s:

a. Duplicates: The list you pull gives requisition lines. You want the true number of ATF requisitions. Select the Remove Duplicates button in the Data tab.

b. Last Week’s Workbook: Ideally the team finishes the items in their workbook in a workweek. Whatever wasn’t finished on last week’s workbook is added to their new workbook plus the new items added since the last workbook pull (distributed equally among everyone). Use VLOOKUP and reference the prior week’s distribution.

9. Return to Oracle and the Process Requisitions page.

10. Under Search, enter the Requisition Number and select Search.

11. Highlight your requisition and select Add to Document Builder.

12. Review information in the document builder. Select OK.

13. Select Create to create a Purchase Order.

14. Change Communication Method to None.

15. Verify the Purchase Order details and Select Submit.

16. Download the invoice attached to the requisition.

17. Edit the invoice to add the Oracle generated Purchase Order Number.

18. Email the edited invoice to invoices@uchicago.edu.
