Extend End Dates in Projects and Awards


Purpose

The following guide is intended for Clinical Research Finance Managers who are looking to view or complete any of the following actions:

Action

· Extend End Dates in a Project

· Extend End Dates in an Award

Terminology

· Award: Clinical Research Studies Trial (CRS) Awards are grants, funding, or financial support provided to researchers or medical institutions to conduct clinical trials and studies. All clinical study projects managed by OCR/CTFG will start with "CRS".

· Project: Contains financial and demographic information at a more granular level of detail than the award.

· Contract: Vehicle for processing revenue and invoices according to configured methods and controls.

· Burden Schedule: Tool for calculating and applying F&A or any other rate-based add-on cost.

· Project Status: The project status can be Active or Closed.

· Award Status: Award status can be set to Active, Closed, or Expired.

Extend End Dates in a Project

1. Select the OKTA Single-Sign-On button and then complete the sign-in steps.

2. Select Projects.

3. Select Project Financial Management.

4. Expand the Search section.

5. Enter the fields of Project Name or Project Number.

6. Clear out the Team Member field.

7. Select Search.

8. Highlight the project row.

9. Select the taskbar.

10. Select Manage Financial Project Settings.

11. Select Edit.

12. Review the existing Project Finish Date.

13. Extend the project Finish Date.

14. Select Save and Close.

15. Search the Contract Number.

16. Select the award number hyperlink.

17. Select Actions and Close.

18. Navigate to the Task Panel then select Manage Financial Project Plan.

19. Extend the Planned Finished Date for both the Tasks.

20. Select Save and Close.

22. You have now completed the process of Extending a Project.

Extend End Dates in an Award

1. Select the OKTA Single-Sign-On button and then complete the sign-in steps.

2. Navigate to Grants Management.

3. Navigate to Awards.

4. Search with Award Project.

5. Select the Pencil Icon and then open the Award Number.

6. Select (1) Details Trainstop.

7. Navigate to the Financial Tab.

8. Review the existing End Dates.

9. Select the Pencil Icon to review and change dates.

10. Update the End Date as appropriate.

11. Select Submit.

14. Refresh the Icon until the date revised.

15. Review the revised dates and then select Save and Close.
