Maintain BSD Actuals Allocations


Purpose

The following guide is intended for a Planning and Budgeting Administrator who is looking to view or complete any of the following actions:

Action

· Review Net Receipts Source Data

· Enter Deans Tax and UCPG Billing Fee Rates

· Run Deans Tax and UCPG Billing Fee Allocation

· Validate Deans Tax and UCPG Billing Fee Calculation Results

Prerequisite

· Recording Financial Transaction in Oracle Cloud: Introduction to the Chart of Accounts and POETAF

· Oracle Planning 101 & Budget Development Overview

Review Net Receipts Source Data

1. Login to Oracle by selecting the Company Single Sign-On button.

2. Navigate to the BSD cluster

3. Select the Deans Tax / UCPG Bill Fee card

4. Select Vertical 1 on the left side of the page

5. Navigate to the horizontal tab Deans Tax and UCPG Billing Fee at the bottom of the page

6. Select the Period member at the top left of the page

7. Navigate to the relevant Period member

a. NOTE: Users can also utilize the search bar to search for the desired member selection

8. Select the check box next to the desired period

9. Select OK in the top right of the member selector box

11. Review the data on the form for the Orgs and Sites shown in the rows and the Accounts in the columns. Confirm the data is pulling the correct CoA combination for the course of the calculation.

a. NOTE: The sum of two accounts shown on this form are the baseline for the Deans Tax and UCPG Billing Fee calculation

Enter Deans Tax and UCPG Billing Fee Rates

1. Login to Oracle by selecting the Company Single Sign-On button.

2. Navigate to the BSD cluster

3. Select the Deans Tax / UCPG Bill Fee card

4. Select Vertical 1 on the left side of the page

5. Navigate to the horizontal tab Enter Tax and Fee Rates at the bottom of the page

6. Enter the data for the current month in the Deans Tax Rate and UCPG Billing Fee Rate columns

a. NOTE: The cells will turn to yellow upon entering data

7. Select Save

a. NOTE: The cells will revert back to white after successful data submission

You have now completed the process of entering deans tax and UCPG billing fee rates

Run Deans Tax and UCPG Billing Fee Allocation

1. Login to Oracle by selecting the Company Single Sign-On button.

2. Select the Modeling cluster

3. Select Calculation Control

4. Select the relevant fiscal year -> relevant month -> Actual -> Final utilizing the check box

5. Select Calculate Model

6. Click the dropdown box at the top of the page, select Actual Data Model

a. NOTE: You can enter a job comment below if desired

7. Leave the Processing Options as they appear

8. Set Processing Range to Ruleset Range

9. Enter the number 401 for the first Sequence number and 500 for the last Sequence Number

10. Select the Run button at the top right corner of Calculate Model window

a. NOTE: The BSD Rule Set Range is 401-500

11. Select the Calculation Analysis card at the top of the page

12. Select the Refresh button at the top left of the page until status moves from Processing -> Completed for the calculation you executed

You have now completed the process of running insurance allocation

Validate Deans Tax and UCPG Billing Fee Calculation Results

1. Login to Oracle by selecting the Company Single Sign-On button.

2. Navigate to the BSD cluster

3. Select the Deans Tax / UCPG Bill Fee card

4. Select Vertical 2 on the left side of the page

5. Ensure the POV Matches what is shown (with the relevant fiscal year and Period)

a. NOTE: POV selections can be made by clicking into the desired dimension in the POV

6. Validate the rows are the same Org and Site combination as the source data in the first vertical tab

7. Validate that the Professional Fees and ProFee-Provision columns contain the same data as found in Vertical 1, Deans Tax and UCPG Billing Fee Source Data horizontal tab

8. Review the IC Exp - BSD Dean's Tax and IC Exp – UCPG Billing Fee column calculation

a. NOTE: You can also export this form into Excel (Actions->Open in Smart View or Actions->Spreadsheet Export) to validate the Dean's Tax and Billing Fee calculations

9. Select Vertical 3 on the left side of the page

10. Ensure the POV Matches what is shown (with the relevant fiscal year and Period)

a. NOTE: POV selections can be made by clicking into the desired dimension in the POV

11. Review the Adjustment In and Adjustment Out columns for both the Deans Tax and UCPG Billing Fee. Totals for Adjustment In and Adjustment Out should match

a. NOTE: This Form displays the data that will ultimately be written back to the GL. The Adjustment In columns show the expense allocation. The Adjustment Out columns show the revenue offset. Signs are flipped for revenue accounts on the integration back to the GL
