Create, Deactivate, Reactivate, and Copy a Favorite Financial Account in ServiceNow

Purpose

Maintaining a list of your frequently used financial accounts makes filling out ServiceNow forms requesting Oracle Cloud data quicker and easier; your account information is saved and ready for use immediately. Instead of filling out every Account Information field, you can select your favorite account from the drop-down and auto-fill the financial account section of the form.

Create a Favorite Financial Account

  1. Log into a ServiceNow portal either IT or Services. (Note: Both the IT and Services Portal have the favorite financial account functionality.)

  2. Click your profile in the top right corner.

  3. Click Favorite Financial Account.


  4. Manage Favorite Financial Accounts for ServiceNow Forms appears.

  5. Action Type: Create favorite account

  6. Select the appropriate Financial Account Type Information.

  7. Input all of your financial account information in the required fields.

  8. Ensure the Add to Favorite Financial Accounts box is checked off. (Note: The checkbox is read-only.)

  9. Ensure the Status is Valid or Incomplete.

  10. Financial Account Nickname: Give the account a short nickname. (Note: This field is optional, but the we recommend giving the account a nickname. Especially, for users with multiple accounts, so that it is easier to remember the purpose of the account.)

  11. Click Submit. (Note: Even though the form is submitted similar to a request, your favorite account is ready to use immediately for any form you'd like to fill out.)

Deactivate a Favorite Financial Account

  1. Log into a ServiceNow portal either IT or Services. (Note: Both the IT and Services Portal have the favorite financial account functionality.)

  2. Click your profile in the top right corner.

  3. Click Favorite Financial Account.


  4. Manage Favorite Financial Accounts for ServiceNow Forms appears.

  5. Action Type: Deactivate favorite account

  6. Select the account that you'd like to deactivate from the Active Favorites dropdown.


  7. Click Submit.

Reactivate a Favorite Financial Account

  1. Log into a ServiceNow portal either IT or Services. (Note: Both the IT and Services Portal have the favorite financial account functionality.)

  2. Click your profile in the top right corner.

  3. Click Favorite Financial Account.


  4. Manage Favorite Financial Accounts for ServiceNow Forms appears.

  5. Action Type: Reactivate favorite account

  6. Select the account that you'd like to reactivate from the Deactivated Favorites drop-down.


  7. Click Submit.

View Favorites List from ServiceNow Backend

Alert! This section only applies to those who have a fulfiller license to work tickets in ServiceNow and can view ServiceNow from the backend.

  1. Log into ServiceNow backend.

  2. Type My C in the Navigator.


  3. Click My COAPOETAF Favorites.

  4. View your favorite financial accounts list.

Copy a Favorite Financial Account

Alert! This section only applies to those who have a fulfiller license to work tickets in ServiceNow and can view ServiceNow from the backend.

  1. Log into ServiceNow backend.

  2. Select All COAPOETAF Favorites under the COAPOETAF Favorites application.


  3. Select the favorite financial account you wish to copy and then note the COAPOETAF number. (As an example, the COAPOETAF number 605-21552-73300-181812-130-9999-99999-9999 is used.)


  4. Log into a ServiceNow portal either IT or Services. (Note: Both the IT and Services Portal have the favorite financial account functionality.)

  5. Click your profile in the top right corner.

  6. Click Favorite Financial Account.


  7. Manage Favorite Financial Accounts for ServiceNow Forms appears.

  8. Select Create favorite account.

  9. Input the first three digits as the UC Entity number.

  10. Input the next five digits as the UC Organization number.

  11. Input the following five digits as the UC Account Number.

  12. Input the next six digits as the UC Fund number.

  13. Input the next three digits as the UC Purpose number.

  14. Ensure Add to Favorite Financial Accounts is checked.

  15. Financial Account Nickname: Give the account a short nickname. (Note: This field is optional, but the we recommend giving the account a nickname. Especially, for users with multiple accounts, so that it is easier to remember the purpose of the account.)

  16. Select Submit.

Favorite Financial Account Troubleshooting

If there is a financial account that has previously been favorited and is now marked as "invalid", here are the quick steps to fix that error.

  1. Deactivate the financial account
    • Follow the steps in the Deactivate section above
  2. Manually enter the account information into the respective form
  3. Select the Add to Favorite Financial Accounts checkbox

This account should now be accessible via the favorite accounts dropdown menu for future use.
