Workday Learning Reports


Purpose

This document aids Content Creators, Learning Partners, HR Partners, Managers, and Primary Role Assignment Owners in a walk through the Workday Learning reports created to show real-time individual learning progress.

Learning Program/Course Statuses:

These reports provide the following statuses. 

Note: Instructor-led Training will stay in Not Started status until the date and time of the Course occurs.

Running Reports

Below describes how to access the report and the available prompts for you to run your report:

  1. After logging into Workday, type the report’s name in the search box.  As you are typing the report name will appear, select the report when it appears in the prompt.
  2. Begin to enter the search criteria in the pop-up box and select OK. Below are the various search criteria you can choose from:
    1. Learning Program: by default, the Learning Programs that are required training programs for Oracle system access are selected.  Choose the Hamburger Menu (icon with three dots and three dashes) and select the checkbox next to the Learning Program(s) you wish to search for. To quickly select several consecutive options, first select the first program you want to include. Then, hold down the Shift key and select the last program in the list. This action will select all items between the first and last programs
      • If you are unsure and are looking for programs relevant to Oracle implementation you can take the following actions:
          • For Oracle ERP: type in Oracle and Orbit Training, then select all the Oracle and Orbit training programs that appear.
          • For Oracle Planning: type in Planning and select all the Planning training programs that appear.
    2. Due Date On or After: you may enter the starting time frame for a due date.
    3. Due Date on or Before: this due date is required and is the last date for which the Learning Program(s) are due.
    4. Supervisory Organizations (for Learning Assignment): this is a required field; you will enter the Workday supervisory organization for the unit of people in which you are searching.
    5. Include Subordinate Organizations: Make sure this field is selected to include all the supervisory organizations that roll into the organization you entered in step 2d.
    6. Job Family: Optionally you can select specific job families to further filter workers in specific job families.
    7. Worker: Optionally you can look up a singular worker by typing the worker's name and hitting enter.
    8. Assignment Mechanism: you may skip the prompt; this is only necessary for Workday Content Creators. Content Creators can use this field to identify users who were not assigned training through the EIB, Mass Enroll, or Campaign but were assigned by their manager or self-enroll. 
  3. When the report appears, you will see a breakdown of the worker’s learning progress by program.

IMPORTANT: if you receive a window stating Notify Me Later, do not take any action; the report will populate once it’s available.  By avoiding Notify Me Later, you can interact with the report in Workday.

Interacting with the Reports

Below describes how to interact with the two reports:

RPT – Learning Assignment Program Tracking

This report provides a detailed table that displays a learner’s progress for each program they are enrolled into. Each Learning Program a worker is enrolled into will appear within the report with several child-rows immediately below containing content tracking details for each course that belongs to the program.

Like excel, each column can be filtered to further narrow your scope. To filter, select the column header to access the filter/sort options.  Below is an explanation of each column:

RPT – Learning Assignment Program Tracking - Summary

This report provides a summary-level view of each program’s learning progress. Any text in blue font within these reports shows a hyperlink to other screens or reports. Utilize these hyperlinks to navigate to different pages or to discover more insights related to the data in the initial report. Follow these steps to interact with the hyperlinks:

  1. Select the blue text to drill down for more information on the data. Once chosen, a table will display.
  2. Further sort the displayed table, by selecting from the Criteria dropdown options along the top of the table and select Refresh.
  3. Back in the main report, hover over the blue text to view and select an arrow pointing down, to the right of the number. By selecting the arrow, you can change the current view to display information in a different view using the View By options, you can drill-down to the RPT – Learning Assignment Program Tracking report, and you can Export the data to either Excel or PDF.

Below provides details about the two types of views available in this report:

Bar Graph

When interacting with the Bar Graph, you can hover over a bar in the graph, displaying the Learning Program name and the total number of individuals in that bar.

Table

When interacting with the table, each column represents a Learning Program, and each row represents a Learning Assignment Status and the Learning Program/Course Status associated with the program.  Each number on the table will display the count of people in the Learning Program and associated status.
