The Box platform at UChicago supports various reporting capabilities to assist with auditing, collaboration visibility, and content management. This article outlines the types of reports that can be requested through the ITS-managed Box platform. All reports are generated in .csv format and shared securely by the Box admin outside of ServiceNow.
Report Types Available:
Collaborations Report
- Provides a snapshot of current user permissions on all collaborated files.
- Customizable by:
- File owner
- Collaborator name
- Collaborator type (internal/external)
- Date sent or accepted
Folders & Files Report
- Delivers a snapshot of all folders and files owned or accessible by a specific user or within a specific folder.
- Useful for content inventory and access validation.
Shared Links Report
- Exports details on all active shared links, including:
- Link visibility (people with the link, collaborators only, etc.)
- Expiration settings
- Link creation date
User Activity (Audit Log)
- Provides a comprehensive log of important user actions such as:
- File uploads/downloads
- Previews
- Edits and deletions
- Folder creation
- Sharing events
User Statistics Report
- Summarizes user behavior over a defined period:
- Login frequency
- Upload/download counts
- Number of previews, edits, and deletes
Requesting a Report:
Reports can be requested through the Box Support Request Form. Be sure to specify:
- The report type
- The user, folder, or group name
- The time period or filters needed
