Viewing Entered Time in Workday

This document provides employees directions on how to view their worked time entries in Workday.

Keep in Mind

· Whether employees use the web clock, a time clock swiping device, or a timesheet, it is important to check the data for the time worked for accuracy.

· Time blocks are segmented slots on the timesheet that display information about your clock data.

Steps

1. Log into Workday using your CNET ID and password.

2. To view entered time in the timesheet:

a. From the Home page, select Menu in the top-left corner and choose the Time App.

b. Under the Enter Time menu, choose between This Week, Last Week or Select Week to display the clock data entered for the desired period.

i. If Select Week is chosen, either type in a specific date or use the calendar icon to select one.

c. The timesheet for the selected period will appear.

i. The dates for the chosen time frame will display in the top left corner of the timesheet. Use the left or right-pointing arrows to move between time periods or select the Today button to navigate to the present day. Select the downward arrow to the right of the chosen dates to open a calendar where days can be manually chosen.

ii. Utilize the Week/Day button on the top right corner of the timesheet to toggle between viewing the timesheet by individual days or by weeks.

iii. Select the Actions button (also located on the top right corner of the timesheet) to start additional tasks such as Request Time Off or Review Time by Week.

iv. The timesheet displays time blocks in two distinct sections of the screen:

1. The top section provides information about automatic lunches, vacation, sick and holiday hours, etc. It also shows the time period, pay dates, and any adjustments for rounding.

2. The bottom section displays time blocks of worked hours that have been clocked in. Each time block lists the time type, timestamp of the clock data, reported quantity, status, and position clocked into (for workers with multiple positions). Time blocks can have four statuses:

a. Not Submitted – These events are identified by a gray stripe on the left side of a gray box filled with a pattern of white diagonal stripes. This status indicates that the time block has been created but not yet submitted to the Time Approver.

b. Submitted – These events are marked by a gray stripe on the left side of a gray box. This status indicates that the time block has been submitted to the Time Approver.

c. Needs Attention – These events are identified by an orange stripe on the left side of a gray box, and a warning icon bearing the message “Needs Attention”. This status indicates that the time block should be reviewed or corrected. It is usually displayed in cases of unmatched time blocks.

d. Approved - These events are marked by a green stripe on the left side of a gray box, and a check icon bearing the message “Approved”. This status indicates that the time block has been approved by the Time Approver.

v. Select a specific time block to review details for that specific day, or to make edits to the chosen segment. Please refer to the Correcting Time as a Timesheet User in Workday Knowledge Base Article to review instructions on how to do it.

vi. The Summary section is located on the right-side of the timesheet. It shows the totals for Regular Hours, Overtime, Time Off, Unpaid Time Off and Total Time for the chosen timeframe.

vii. The Review button at the bottom right corner of the page is used to view the Submit Time confirmation screen with the date range, and total hours, and send the timesheet to the Time Approver for approval.

3. To get a report of entered time in the timesheet:

a. From the Home page, select Menu in the top-left corner and choose the Time App.

b. Under the View menu, choose Time Clock History.

c. The My Time Clock History screen will appear. By default, the report will show information for the current week. Use the Previous Week or Next Week buttons to navigate between weeks.

i. To display the timesheet, select the View My Calendar button.

d. The first section of the report lists all Unmatched Clock Events, while the section directly below displays Matched Clock Events (sorted by descending date by default).
