Completing Supplement B (formerly Section 3) of Form I-9 in Workday


Purpose

This document provides Human Resource Partners (HRP’s) directions on how to complete Supplement B, formerly Section 3, of Form I-9. Supplement B of Form I-9 is completed when reverification of an employee’s eligibility to work in the US is needed, the employee has changed their legal name, a receipt was used during the initial completion of the I-9 (validate within a 90-day period), and/or rehiring an employee within 3 years of the initial completion of their Form I-9.

Keep in Mind

· Workday has a dash in “I-9”; searching for “I9” will not return any results.

· Supplement B of the I-9 must be completed by the department on behalf of the employee. Employees cannot complete their own Supplement B.

· When rehiring an employee within 3 years of the initial completion of the I-9, Supplement B may be completed in lieu of a new I-9.

· For reverifications, you will need reverification document information (title, number, and expiration date) and a digital copy of document(s) to complete the I-9 process.

· For legal name changes, you will need the new legal name of the employee and a copy of the Social Security Card to complete the I-9 process.

· For rehires, you will need the rehire date of the employee to complete the I-9 process.

· Supplement B is currently still referred to as Section 3 in Workday.

Steps

1. Log into Workday using your CNET ID and password.

2. Using the global navigation bar at the top of the page, type Complete Form I-9 Section 3 and select Enter.

3. Click the task named Complete Form I-9 Section 3 to begin the process.

4. In the Worker Form I-9 field, search for the employee’s name, and click OK.

a. NOTE: If there are no results, the employee does not have an electronic I-9 in Workday. The employee will need to initiate the I-9 process from the beginning in Workday (Complete Form I-9).

5. The worker’s I-9 form will be displayed. Scroll down to Section 3 to complete the applicable part(s) of Section 3 and check the I Agree box.

a. Part A is for legal name changes

b. Part B is for rehires

c. Part C is for employment reverification

6. Attach applicable documentation under the Attachments section and click Submit to trigger the next step in the process.

7. A new window will populate to complete the step Load Documentation for Section 3 of I-9. Select To Do to begin.

a. If you have already attached all required documentation in the last step, you can simply click Submit to complete the process. Do not complete Step 7b. The process will go to the Payroll Administrator for review.

b. If you did not attach all required documentation during step 6, then click on the Maintain Worker Documents button to upload the worker’s documentation.

i. In the Worker field on the next screen, search for the employee in question and select OK.

ii. Click the Add button at the top of the page to upload file(s). You can upload by drag and drop or by searching for the file on your computer.

iii. Once the document is uploaded, please select the appropriate Document Category, and select OK.

1. Possible document categories include “I-9 Documentation,” “Social Security Card,” or “Foreign Nationals.” You may also enter a brief Comment to provide more details.

iv. Once you have uploaded the supporting documentation, return to your Inbox, find the Load Documentation for Section 3 of I-9 to-do, and click Submit to mark this step as complete.

v. The process will go to the Payroll Administrator for review.
