Background Check Exception Template


Purpose

This template is used to document the department's approval of allowing a candidate to start the hire process before the background check clearance.

Keep in Mind

· The letter must be on department letterhead with the appropriate signatures (i.e., AVP of HR or department/unit head). The completed letter must be saved in the Attachments tab, which can be found on the left-hand side of the Candidate's Profile in Workday.

· On the right-hand side, two tables will appear: Application Documents (which include the resume and cover letter), and Other Documents.

· To add a document, select the Add button located beneath the Other Documents table and upload the document either by choosing Select Files and selecting the appropriate file from your computer, or by dragging and dropping the file into the gray box. If an incorrect document was mistakenly uploaded, select the trash can icon.

· Use the Hamburger Menu (the icon with 3 dots and 3 dashes) to the right of the Category prompt box to select the appropriate option.

· Select OK to complete the process.

· Once the letter has been uploaded, inform the Recruitment and Retention Specialists Team by typing a comment in the Activity stream, which is located at the bottom of the page. Make sure to use the tag feature by typing "@" followed by the specific Recruitment and Retention Specialist's name, and then select Post.

· Note: Prior to the exception being applied, the candidate must be "In Progress" stage with the vendor (GIS). Please inform the candidate to look for an email from the vendor and take action to move the process along.
