IT Services collects records and data from various authoritative sources multiple times every day to determine who is eligible for service—both incoming people who need to set up services, and outgoing people whose eligibility for services has ended. IT Services acts on the determinations of the various systems (which include our most authoritative systems: Workday information for faculty and staff and AIS information for students). The closure process is designed to close the accounts of individuals who are no longer listed as eligible in the University's authoritative records.
Note: IT Services does not determine your eligibility. You must contact your department to correct your records if you believe you should retain your account.
Note: Your eligibility is not governed by IT Services. IT Services collects data from multiple authoritative entities on campus to determine who is and is not eligible for closure, then acts on that data. Contacting IT Services about your closure will not cause your account to be reopened.
Once you have taken the proper steps and IT Services receives updated information about your eligibility, you will receive an email noting that your status has changed to eligible and that the account closure process has been halted. Any services locked by the closure process will be restored, and your account will return to its fully active state. Be aware that coordinating the reinstatement of your account across various departments will take time. If you continue to receive closure notifications after you have been notified that your account is now eligible, contact your department administrator.
All account holders maintain access to their CNetID and password, which may continue to be used for authentication access to services for which the account holder has been provisioned. For example, if your department wishes to continue to grant you access to a divisional database, they may work with the database administrator to continue your access, which you will access using your CNetID and password. Most account holders, while still maintaining authentication credentials, do not continue to retain any access after their account services have been closed. Booth School of Business Alumni
Closure of your CNetID account by IT Services does not affect your Booth or Email4Life accounts. Note: The Email4Life account system is not managed by IT Services, but by a separate IT organization at Booth. Different protocols for account management or closure may apply. The Booth School of Business alumni retain a number of services through the school itself, including email forwarding for their Chicago Booth email addresses. Booth alumni should see Booth's alumni resources website.
Former Students
Former students retain online transcript access.
Faculty and Staff
Faculty, staff, and other academic appointees retain their CNetID and password and the ability to authenticate (log in) to any services to which they have the authorization to access. Some services (such as Canvas) require only authentication for access, so faculty and staff will retain access. Additionally, local services, such as a departmental database that a department wishes to make available to departing faculty or staff, may be provisioned by the department and accessed using the CNetID and password. Former faculty, staff, and other academic appointees will not retain access to centralized services such as email, proxy access to Library databases, or the wireless network after they depart from the University.
Faculty Emeriti
Faculty emeriti retain full access to services, including Canvas, University email, the UChicago Virtual Private Network (cVPN), and the proxy server for Library resources when they retire.
