This document provides external candidates directions on how to apply for a UChicago job.

Keep in Mind

· Your email address is your profile ID. This cannot be changed because it is tied to each position in which you apply. Recruiters of each position will communicate to you through this email address.

· For ease of reference in the future, note the job requisition number located at the top of each job description. Each job requisition begins with “JR” followed by five digits (i.e. JR12345).

· To apply for a UChicago job you need an updated resume and keywords to search for positions. Additional documents may be required, depending on the application requirements noted on the job requisition.

· For any questions not addressed in these knowledge base articles, submit an Applicant Inquiries form in ServiceNow.

· If you already work for the University of Chicago, you must apply internally. Follow the Navigating the Career App and Applying for a UChicago Job in Workday – Internal Candidate Knowledge Base Article.

Applying for a UChicago Job (External Candidate)

1. Create a profile by going to the UChicago External Career site and selecting Sign In at the top right corner.

a. If you already have an account (have applied to a UChicago job previously), enter your Email Address and Password and then select the Sign In button. Choose Search for Jobs in the top-right corner.

i. If you’ve forgotten your password, then select Forgot your password? under the Sign In button and follow the prompts.

b. If you do not have an account (first time applying to a UChicago job), select Create Account located under the Sign In button. Complete the below fields and then select Create Account.

i. Email Address - Enter your most current email address.

ii. Password - Enter password.

1. A password must include the following:

a. An uppercase character

b. A numeric character

c. A special character

d. A lowercase character

e. An alphabetic character

f. A minimum of 8 characters

iii. Verify New Password - Re-enter password to verify.

2. Search for a position. There are two ways:

a. Search by Keywords:

i. Enter your search criteria in the search bar. Select Search.

b. Search by Filters:

i. Using the filters (Location, Time Type, Department, Job Family, and Job Type) located under the search bar, select the criteria. The results will automatically populate.

3. Select the title of the position to review position details.

4. Select Apply. The system will bring you to a guided application process which is divided into multiple sections. Select one of the following ways to apply:

a. Autofill with Resume: Allows you to upload your resume which, in turn, will parse information into the appropriate job application fields. This helps expedite the application process. IMPORTANT: Review parsed information for accuracy and modify as necessary.

i. Upload your resume. The resume format type must be DOC, DOCX, HTML, PDF, or TXT file. The file should not exceed 5MB.

ii. Select Continue.

b. Apply Manually: Complete the application by filling in the appropriate job application fields.

c. Use My Last Application: Allows you to begin the current job application with information you provided on previous applications submitted to the University. This helps expedite the application process.

i. If this option is selected, then you will be routed to My Information where the opportunity to make any necessary changes is provided.

ii. Select Save and Continue.

5. Complete My Information.

a. Using the drop-down menu, answer the first question: How Did You Hear About Us?

b. For the remaining fields enter, review, or edit the required information and confirm its accuracy.

i. NOTE: Be sure to use your full legal name on your job application.

c. Select Save and Continue.

IMPORTANT: At any time after completing My Information, you can navigate away from an application without submitting it and your progress will save. To return to an application that has been started but not submitted, complete the below steps.

a. Select Candidate Home in the top-right corner of the page.

b. Under the My Applications section there are two ways to return to the application:

i. Under the Actions column choose the three dots and then select Continue Application.

ii. Under the Job Title column choose the hyperlink and then select Continue Application.

6. Complete My Experience.

a. Add, edit, and review each section noted below to confirm accuracy. To add new information, select the Add or Add Another button located at the bottom of each section. To delete information, select the Delete icon represented by a trash can and located in the top-right corner of individual content in each section.

i. Work Experience:

1. The Job Title, Company, From, and To fields are required.

2. The Location and Role Description fields are optional.

a. While the Role Description field is not required, it is highly encouraged as it provides important details about your work experience.

3. Checkmark the I currently work here box, if applicable.

ii. Education:

1. The School or University and Degree fields are required.

a. Select the type of Degree from the drop-down menu.

2. The Field of Study, Overall Result (GPA), From, and To (Actual or Expected) fields are optional.

a. To complete the Field of Study, you can either use the Hamburger Menu (icon represented by three dots followed by three dashes) and choose from the list of options or enter the field of study manually and choose from the populated list.

iii. Languages:

1. All fields are required. These fields include Language, Comprehension, Overall, Reading, Speaking, and Writing. Use the drop-down menus to select applicable responses.

2. Checkmark the I am fluent in this language box, if applicable.

iv. Skills:

1. For the Type to Add Skills field, manually enter individual skills into the search box.

v. In the Application Documents section, upload ALL required application materials (i.e., resume, cover letter, writing sample, etc.) listed in the Application Documents section of the job description.

1. Select files to upload for each additional required document. Continue to select files until all documents have been uploaded. Each file should not exceed 5MB.

vi. Websites:

1. URL is required.

b. Once all sections are complete, select Save and Continue.

7. Complete Application Questions.

a. All questions are required. For each question, use the drop-down menu to select your response. Questions include:

i. Are you 18 years or older?

ii. Indicate your highest level of education completed;

iii. How many years of experience do you have related to this position?

iv. Are you authorized to work permanently in the United States?

v. Will you now or in the future require sponsorship for employment visa status (e.g. H-1B visa status)? If you are a citizen of the United States, select "No".

vi. What are your salary expectations for this position?

1. Enter expected salary amount in the open text box below this question.

vii. Indicate which of the following describes your relationship with the University of Chicago. (select one)

1. Checkmark the applicable option.

viii. Are you currently employed at the University of Chicago Medicine, Ingalls, or any other University of Chicago affiliated medical institution?

ix. Have you ever been involuntarily terminated from the University of Chicago (excluding layoff situations)?

x. Are you related by blood, by marriage or do you reside with any person currently employed by the University of Chicago?

1. If Yes is selected a new field will populate for you to provide the employee's full name, department, and your relationship.

xi. Please confirm that you have reviewed the job description in its entirety and that you have attached all required and relevant documents, before submitting your application. Note: You will not be able to update your application once you have submitted it.

1. When selecting Yes, I have you’re confirming that all required documents listed in the job description have been uploaded. If changes need to be made, select the Back button to return to the My Experience page and upload all required documents in the Application Documents section.

b. Select Save and Continue.

8. Complete Voluntary Disclosures.

a. Review Personal Data Statement.

b. Respond to each question.

i. NOTE: Responding to the questions is entirely voluntary.

c. Review Terms and Conditions.

i. Select the check box to confirm that you have read and consent to the terms and conditions. (required)

d. Select Save and Continue.

9. Complete Self-Identify. Responding to the questions is entirely voluntary.

a. Select Language preference. The system defaults to English.

b. Add your legal name in Name field.

c. Enter your Employee ID (if applicable.)

d. Using the calendar prompt, enter today’s Date.

e. At the bottom of the screen, check the applicable box to identify if you have a disability.

f. Select Save and Continue.

10. Review information.

a. Review each section to confirm accuracy.

b. Ensure that all required documents are listed under the Application Documents section.

c. If there is an error, select the Back button to make the correction.

d. If all information is correct and all documents have been uploaded, select Submit.

11. Receive Confirmation.

a. Once submitted, an Application Submitted message pops up; this is confirmation that your application has been submitted. Select the X in the top-right corner of the pop-up to return the Candidate Home or select the Return to Home hyperlink in the bottom left corner.

After Submitting Your Application

1. Return to the UChicago External Career site and select Sign In at the top right corner to log-in.

2. Tracking your application.

a. Choose Candidate Home in the top right corner. Under the My Applications section, there are two tabs (Active and Inactive) to view the list of applications you’ve started, submitted, withdrawn, etc.

i. Both tabs include a table with column headers of Job Title, Job Req, My Application Status, Date Submitted, and Action.

1. My Application Statuses include:

a. Application Received

b. In Process

c. Offer

d. Not Selected (this status shows under the Inactive tab)

e. You have Withdrawn (this status shows under the Inactive tab)

2. Within the Active tab, under Action, select the three dots to View or Withdraw your application.

3. Within the Inactive tab, under Action, select the three dots to View Application or View Completed Tasks (if applicable).

3. Updating your profile.

a. Select Settings, as represented by a gear icon, in the top right corner to update Personal Information or Change Email.

b. Choose Personal Information to make changes to your Country of residence, Legal Name, Address, or Phone information.

i. Checking the I have a preferred name box opens a Preferred Name section with additional required fields.

ii. Make any applicable changes to information and then select Save at the bottom of the page. To discard your changes choose Cancel and then Discard.

c. Choose Change Email to change your email address.

i. In the New Email field, enter your new email address and then select the Send Link button to verify it’s you.

ii. Verify the changes. The applicant receives two email notifications:

1. The Username Change Notification email routes to the original email address. This informs the applicant that a request was made to update their Workday account username.

2. The Workday - Username Change Verification email routes to the new email address.

a. Log into the personal email account, select the link to verify the e-mail, and complete the change.

4. Viewing your application.

a. Choose Candidate Home in the top right corner. Under My Applications, within the Active tab, locate the Actions column, select the three dots, and choose View Application.

b. A side-pane on the right will expand displaying your application details and the Application Status at the top.

5. Withdrawing your application.

a. Choose Candidate Home in the top right corner. Under My Applications, within the Active tab, locate the Actions column, select the three dots, and choose Withdraw Application.

b. In the new window, confirm the withdrawal of your application by selecting Withdraw.

i. NOTE: Once you withdraw your application, you cannot reapply to the same job requisition.

6. Reviewing an Offer.
