This document provides instructions on how to access, edit, and add Applications, Shortcuts, and Reports in Workday.

· Applications (apps) are organized into categories that can be expanded/collapsed as needed. The order of categories cannot be changed, but apps within each category can be rearranged.
· Added apps may create new categories in the Menu. Apps without a specific category, including reports, will be listed under the More category.
· The Saved category at the bottom of the Menu provides access to all Favorites, as well as saved content and files across Workday.
· There is no limit on how many Applications can be displayed in your Menu at once.
· A maximum of 10 Shortcuts can be configured.
· Access to and view of Applications is related to your assigned security roles in Workday.
· Some applications will automatically appear based on your security role. For example, all HR Partners will have the HR Partner Hub application available without having to manually add it.
· Certain applications cannot be deleted and/or removed from the Menu.
· Use Shortcuts to save reports, tasks, and external links.
· You cannot edit Applications and Shortcuts at the same time; you must complete editing for Applications and Shortcuts individually.
· The ERISA Hours “application” is accessed as a report in Workday. The ERISA Hours report reflects employees’ ERISA hours as of the most recent payroll.
· To access this report type ERISA Hours into the Workday search bar and locate the report underneath the category of Tasks and Reports.
1. Log into Workday using your CNetID and password.
2. Select Menu in the top-left corner and select either the Menu tab (to edit Applications) or Shortcuts tab.
3. At the bottom of the appropriate tab select Edit.
4. To reorder Applications or Shortcuts, drag and drop each item to their respective desired locations. For Applications, the order of categories cannot be changed, but apps within each category can be rearranged.
a. You can also use Tab key to navigate through the items in the Menu, utilize the Spacebar to select/deselect them, and the Arrow keys to move them up and down.
5. Once Applications or Shortcuts are reordered, select Save Changes or select Discard to not save changes.
1. Log into Workday using your CNetID and password.
2. Select Menu in the top-left corner and select either the Menu tab (to edit Applications) or Shortcuts tab.
3. At the bottom of the appropriate tab select Add.
a. If you are not at the maximum number of Shortcuts, then a Find field will appear. Proceed to step 4.
b. If you are at the maximum number of Shortcuts, then a Manage button will appear in place of the Add button.
i. Select Manage to delete Shortcuts and then select Save Changes. You will be brought back to the main tab where you can now select Add Shortcuts again and the Find field will now be visible.
4. Within the Find field, type in the name of the Application or Shortcut to add. Select the Plus Sign icon to add the item to your Menu.
a. For Shortcuts, the Plus Sign icon will change to a check mark paired with a flash message that states Added to Menu, once complete.
b. For Applications, the Plus Sign icon will change to a check mark paired with a message underneath the app that states Added to [Category Name].
5. Once Applications or Shortcuts are added, select Back to Menu to return to the Menu or select the X to close out.
· The below list contains available applications that can be added in Workday.
· This is not an exhaustive list of applications but includes the most common ones.
· Some applications are time-specific and will only be accessible during specific times of the year. For instance, the AMP Resources application is only available during the Annual Merit Plan process.
· NOTE: The ability to view and add specific applications is based on your security access and role assignment(s) in Workday. You may not be able to view or add all the below applications.

· There are several reports available within Workday. To access a list of reports, enter RPT Report Library into the global search bar at the top of Workday.
· The RPT Report Library includes the Report Title, a Brief Description of the report, Report Tags, the Date of Most Recent Update, and the Report Prompts.
· For users that hold a security role such as HR Partner, Time Approver, Budget Partner, etc. search Top Reports for Campus Users to access a list of reports specific to your security role(s).
· Reports can also be located by typing the report name directly into the global search bar.
· The ability to view and use specific reports is based on your security access and role assignment(s) in Workday. You may not be able to view or use all reports in the library or Workday.
· Reports can be filtered and exported.
