Updating your Career Profile in Workday

This document provides employees directions on how to review and update their Career Profile in Workday.

Keep in Mind

· Having an updated resume on hand is useful, but not required, to fill out all the sections in the Career Profile.

· It is recommended, though NOT REQUIRED, to review and update the Career Profile in Workday before submitting an internal job application, as this can reduce the need for data entry.

· When completing an application, employees have the flexibility to fill out or modify fields and add or remove sections as necessary. This flexibility allows them to tailor the application to highlight information relevant to the position they are applying for.

· Any changes made will ONLY affect the specific application and will NOT impact the Career Profile, unless explicitly indicated by checking the Replace the Education/Experience/Skills information in my profile with this information boxes located at the bottom of each applicable section in the application form. Steps

1. Log into Workday using your CNetID and password.

2. From the Home page, navigate to your profile by selecting the person icon in the top-right corner of the page, and choosing View Profile.

3. Within your profile, select Career on the left-side of the page. Three tabs will show up:

a. Professional Profile – This tab shows details about Job History and Education.

b. Learning – This tab will detail learning history for trainings available within Workday. It includes courses that have not been started, as well as those that are in progress and completed. This screen cannot be edited; it is updated automatically when employees enroll, start or complete training in Workday.

c. Certifications – This tab displays information about credentials or certificates, awarded by accredited associations or boards, that employees have obtained throughout their career.

4. Under the Professional Profile tab, go to the Job History section to update this information.

a. To insert an employment record, select + Add and fill out the applicable fields in the screen that pops up on the right side.

i. Job Title, Company, and Start Date are required fields for submission and must have a value.

ii. Even though they are not required by the system to proceed, it is recommended to also complete the End Date, Responsibilities and Achievements, Location, Reference, and Contact Information fields. Please note that the last four fields are text fields, and as such, information can be copied and pasted from a resume or similar document.

iii. The company list provided in the dropdown menu is not exhaustive. If the desired company is not available, check the If you cannot find the company, click here box, and type in the name of the company.

iv. If more than one employment record is needed, select the Add button and repeat the process outlined above. Once completed, select Submit.

b. To modify or eliminate an existing record, select the Edit button to the right of the appropriate item, and choose either Edit Job History or Remove Job History.

5. Still under the Professional Profile tab, scroll down to Education to update this area.

a. To insert a school attended or degree earned, select + Add and fill out the applicable fields in the screen that pops up on the right side.

i. Country, and School must have a valued as they are required fields to move forward.

ii. If desired, also enter information in the Degree, Degree Received, Field of Study, First Year Attended, Last Year Attended and Grade Average fields.

iii. If unable to find a school in the pre-populated list, check the If you cannot find the school, click here box. This will open three additional fields: School Name, School Location and School Type. Fill out at least the School Name as this is a required field.

iv. Supporting documents can be added under Attachments.

1. Expand the Attachments section by selecting the More Options icon, represented by an arrow pointing right, located immediately to the left of the appropriate heading.

2. Documents can be uploaded either by choosing Select Files and selecting a file from your computer, or by dragging and dropping the file into the gray box. To insert additional documents, select Upload and add the files. If an incorrect document was mistakenly uploaded, select the trash can icon.

v. To include multiple degrees/schools, select the Add button and repeat the process outlined above. Once completed, select Submit.

b. To modify or eliminate an existing record, select the Edit button to the right of the appropriate item, and choose either Edit Education or Remove Education.

c. Entry of Education data will notify your HR Partner.

6. Finally, navigate to the tab Certifications if changes to this section are needed.

a. To insert a new certification, select the Add button and fill out the applicable fields.

i. Certification is the only required field for submission and must have a value.

ii. Even though they are not required by the system to proceed, it is recommended to also complete all the other fields (Country, Certification Number, Issued Date and Expiration Date).

iii. The list of certifications provided in the dropdown menu is not exhaustive. If the desired certification is not available, check the If you cannot find the certification, check here box, and type in the name of the certification and issuer.

iv. If desired, upload supporting documents under Attachments. Follow the instructions provided in step 5.a.iv.

v. Select the Add button to keep inserting additional certifications and repeat the process outlined above. Once completed, select Submit.

b. To modify an existing record, select the Edit button. To eliminate it, select Remove.

c. Entry of Certifications data will notify your HR Partner.

7. To upload your resume into Workday, please follow the Uploading Documents to Your Profile in Workday Knowledge Base Article. Automatic resume parsing is currently only available for external candidates applying for a UChicago job.
