· Worker History refers to the historical record of actions taken on a worker through specific business processes. This information is saved and can be viewed for any worker in Workday.
· Worker History provides step-by-step details of each business process, including the task, step, status, completion date, due date, and the individual or role responsible for completing the step or currently assigned to it.
1. Log into Workday using your CNetID and password.
2. Navigate to the Worker’s Profile by typing their name or another unique identifier (Chicago ID, SSN, Worker ID, etc.) in the search box at the top of the screen. Select the appropriate suggested record that appears below the search box, or press Enter to run the complete search, and find the right worker.
a. Use the prefixes worker: or id: to refine your search results. For details on how to use prefixes, review the Workday Search Prefixes Knowledge Base Article.
3. Within the Worker’s Profile, select Job on the left-side of the page, and go to the Worker History tab.
4. The Worker History tab displays all business process transactions for the worker in descending order. Hover over the process name to reveal the Related Actions icon (the icon made of a small rectangle with three dots in the middle) that appears to the right of the name. Select this icon to access additional information or available options related to the process.
5. To see the business processes listed by category, select the View Worker History by Category button.
6. On the View Worker History by Category screen, choose the tab you would like to review. The information will be displayed grouped in any of these topics: Staffing, Organization, Personal Data, Compensation, Time Off and Leave, Goals and Reviews, and Payroll.
a. Any items with a blue hyperlink can be selected to view further information.
7. After selecting a blue hyperlink to review the details of a business process, the View Event screen will appear. The Overall Status will indicate whether the business process has been completed (status will display Successfully Completed) or is still ongoing (status will display In Progress).
a. Please note that even if the status is Successfully Completed, there may still be additional process steps. This status refers to the completion of the core process, but it may trigger other integrations or related tasks in Workday.
8. Select the Process tab to view the detailed history of the business process. All the steps that have been completed as part of the business process will be listed under this tab, along with the date and time of completion and the individual who completed each step. To view any pending steps, scroll to the bottom of the page and select the Remaining Process button.
