Keep in Mind
- Workers can view accruals and the history of time off requests via the Manage Absence App.
- Paid absences are available to eligible workers according to their accrued times.
- Workday automatically calculates accruals, or earned time off, based on employment history, and these are added to the worker’s account when Payroll finalizes each month. Once the accrual is added, time-off balance will be updated to reflect the number of hours available for vacation, personal holidays, and sick time. For more information on time off policies and eligibility, visit the Inside UChicago | Leaves and Time Off page.
Steps
- Log into Workday using your CNetID and password.
- From the Home page, select Menu in the top-left corner, then choose the Manage Absence App under the Personal category.
- To view time off balance:
- Navigate to the Balances tab in the section to the right of the screen, next to the time off calendar. This tab provides a summary of your accrued hours as of the current date.
- Another way to view accrual balance is by using the RPT Time Off Balance with Cap report.
- Type “RPT Time Off Balance with Cap” in the search box at the top of the screen and select the suggested report that appears below the search box.
- Either type in the date or use the calendar icon to choose the Effective as of Date and select OK.
- The page will then display a chart with the accrued balance for each type of eligible time off plans available for you, including holidays, personal holidays, sick leave, and vacation.
- To view time off requests:
- Navigate to the Requests tab in the section to the right of the screen, next to the time off calendar. This tab displays all submitted time off requests from the past 6 months and the upcoming 12 months, based on the date of access.
- Requests are organized by month, and each record displays the date, type of absence, total hours, and status.
- If a request covers multiple consecutive days, the record will show a date range; if it covers non-consecutive days, each date will be listed separately.
- Approved requests display a checkmark icon, pending requests (submitted but awaiting approval) display a clock icon, and returned requests (sent back by the Manager) display a return arrow icon.
