Entering Time as a Timesheet User in Workday

This document provides timesheet users (biweekly employees only) directions on how to enter their time in Workday.

Steps

  1. Log into Workday using your CNetID and password.
  2. From the Home page, choose Menu in the top-left corner and select the Time App located under the Personal category.
  3. Under the Enter Time menu, choose between This Week, Last Week or Select Week.
    1. If Select Week is chosen, either type in a specific Date or use the calendar icon to choose one.
  4. The timesheet for the chosen period will appear. There are two ways to enter time: by selecting the time block directly on the timesheet or through the Actions menu in the top-right corner of the calendar.
    1. To enter time by selecting the time block directly on the timesheet, choose the time block corresponding to the day that requires entry.
      1. The Enter Time dialog box will display.
        1. Time Type – Auto-fills to Worked Time.
        2. In – Enter the start time of the time entry.
          1. Format automatically adjusts to HH:MM AM/PM after entering the number.
        3. Out – Enter the end time of the time entry.
          1. Format automatically adjusts to HH:MM AM/PM after entering the number.
        4. Out Reason – Select one of the following:
          1. Meal
          2. Out
        5. Hours – Auto-calculates once In and Out times are entered.
        6. Position* – Select the Position requiring time entry.
          1. *Field only available when worker has multiple positions.
        7. Comment – Add any applicable comments related to the time entry.
        8. Select OK.
    2. To enter time through the Actions Menu, select the Actions drop-down menu located in the top-right corner of the timesheet. Choose one of the following options:
      1. Enter Time - this option allows entry of In/Out times for each day of the week.
        1. Under the In/Out Times section, complete the In, Out, Out Reason, Position (if applicable), and Time Type fields.
          1. Select the Plus (+) and Minus (-) icons immediately below the In/Out Times header to add or remove rows as needed.
            1. For example, select the Plus (+) icon to add a new row to account for a lunch break. In this example Row 1 could show as 8am for the In time and 12pm for the Out time, with Meal as the Out Reason. Row 2 could show as 1pm for the In time and 5PM for the Out time, with Out as the Out Reason.
          2. After entering In/Out numbers, format automatically adjusts to HH:MM AM/PM.
          3. Select the + icon located in the right corner of the In/Out Times block to optionally add comments for each row.
        2. Do not edit the Hours/Units section.
        3. Select another day of the week using the tabs listed at the top to enter time for another day.
        4. Select OK to return to the timesheet.
      2. Enter Time by Type - this option is for employees who have multiple types of time.
        1. Complete the Time Type field using the Hamburger Menu (icon with three dots and three dashes).
        2. Leave the Worktags field blank.
        3. Enter the daily hours for each day to total your weekly hours.
        4. (Optional) Select the Comments # of # button to add comments.
        5. Select Save and Close to return to the timesheet.
      3. Enter Time by Week - this option allows time entry for the entire week on one page.
        1. Select the Previous Week or Next Week buttons to navigate to another week other than the current.
        2. Each day of the week has its own table. Within each day, complete the In, Out, Out Reason, Position (if applicable), and Comment (optional) fields.
          1. Time Type field auto-populates with Worked Time.
          2. Leave the Worktags field blank.
        3. Select the plus sign under each respective day to add additional rows for time entry.
        4. Total weekly and daily hours display at the top of the page.
        5. Once entries are made for the week, select Next to proceed to the confirmation page. This page displays the Daily Totals entered and provides a Week Totals chart to confirm the time entered. Select Save to return to the timesheet.
  5. After time entries are added to the timesheet, select the Review button in the bottom right corner of the timesheet.
  6. Select Submit on the confirmation page to complete the process.
